Getting Started

Welcome!  ResuWe is designed for ease of use.  Think email!  You will find your settings on top, jobs all on the left, candidates in the middle, and resumes pop up on the right.

Your jobs and basic company info have been pre-loaded from your company's website to get started.  Please do the following to maximize your experience:

Review your account settings

Enhance your company career page

Invite your colleagues to recruit with you

Account Settings

Ensure your company is displayed correctly. Be sure to change your temporary password.  You can also edit your main careers page link and co-branded domain name.

We make it easy for you to enhance your company's career page with a dynamic listing of all your jobs.  We offer 2 great solutions:

1)  Add each job's unique hiring.at URL to the bottom of each job description on your career page.









2)  Add an iFrame widget to your career page which lists all your jobs.  Recommended!  Below is an example of the widget in action or check it out here. 














When applicants apply, they will see your career page in the background.  It looks like they are still on your site though ResuWe is taking care of the nuts and bolts of the application process.  When an applicant exits this page, they return back to your company's main career page.

Please be sure to visit your company info settings to ensure your hiring.at/companyname hosted career page and career page background are to your preference.

Collaborative Recruiting

ResuWe is designed for collaborative recruiting.  Hiring Managers, Human Resources, and Recruiters easily recruit together on jobs.  One person for each company is the designated admin.  The admin can Add New Users under the Settings/Users Tab.  Once a new user is added, they will receive a welcome email with a temporary password.

















After you add users, be sure to assign them to jobs as either a Hiring Manager or HR contact.  You can also enter new users here by clicking the green plus icon on the right. 

Non-admin users only have access to jobs they are assigned to.  All user activity is logged for each candidate so it's easy to keep track of the collaborative recruiting process.

Ranking, Scoring, and Searching

Applicant Ranking:
Applicants who apply for your jobs are automatically ranked according to select keywords from your job description:
Autopilot:
You're set up on auto-pilot.  The top keywords from each job description are pulled out into a simple boolean string of OR's.  Incoming candidates will be ranked and scored based on keywords in this search string.

Full Manual Override:
We encourage you to go into full manual override and set up your own boolean string for each job.  Your scoring and keyword highlighting will be more accurate.  You can also search for candidates within your private database plus candidates who have opted to be contacted by employers directly.

Generating more applicant traffic

You can post your jobs to free job boards Indeed and SimplyHired.  Just go to your job's "Published" tab and add the job description you want published online.  You can quickly gain more job exposure by sponsoring your job on Indeed.com directly from ResuWe. Just select your budget and click "Sponsor This Job" and you will receive a billing email directly form Indeed.com.

To increase applicant traffic, we highly recommend you post your jobs to other leading boards including Craigslist, Monster, and Careerbuilder.  Based on your position, we also recommend you post to industry specific boards including Dice, 37signals, or Biospace.

Be sure to use your job's hiring.at URL as the apply link. Applicants are automatically tracked based on the job board so you can track ROI.  If you already have a job posted, simply replace your current URL or email address with the hiring.at URL.

You can easily generate free applicant traffic by posting your job's hiring.at URL on social media sites including Facebook, Twitter, and LinkedIn.  Get creative and post to blogs and industry sites.  Just be sure to include your hiring.at URL!

We are close to releasing functionality allowing you to post to major job boards directly from the ResuWe application.  Stay tuned!

Status Buttons

Easily change the status of applicants with status buttons.  From left to right:





Reject
- rejected applicants are removed from the job folder and will not return.  This applicant cannot re-apply for the job.  Rejected applicants within the past 90 days are listed in the Rejected Quicklink if you accidentally reject an applicant or need to find a rejected applicant.  You can also bulk reject candidates by checking multiple boxes and pressing the bulk reject button underneath the applicants.
Call - Great applicants you'd like to contact.  They will also show up in the Contact Quicklink.
Hold - Not sure?  Set them as Hold and get back to the applicant later.
Candidate Reject - If you speak with an applicant and they are not interested in the job (for whatever reason).
Company Reject - If you speak with or interview an applicant and your company is not interested in proceeding further.
Interviewing - Sets Interview Type & Date.  You can specify the date, time, phone interview, 1st interview, or 2nd interview.  All candidates interviewing for all your jobs are listed within the Interviewing Quicklink.
Hire - Congrats!  Be sure to set the applicant's start date.







Track the status of voicemails left or emails left with the Left Message and Sent Email buttons.  You can also track the applicant's entire Activity History by date, job, action, and user.

Filters

Flooded with applicants for a position?  Filters allow you to easily sift out the highest ranking, most recent, and closest applicants.  Highlight the box above the filter, select the number in the dropdown, and click Apply Filters.

Applicants By Status
















The top left Applicants By Status are folders containing all your jobs together.

New Applicants - contains applicants who have applied to your active jobs but not yet marked with a status. 
Contact - contains applicants for all your active jobs marked as Contact.  Think of this as your callsheet.
Interviewing - contains applicants for all your jobs who are currently phone interviewing or interviewing.
Hired - We hope this folder grows fast!
Rejected - contains applicants who have been rejected for any job within the past 90 days.  Once an applicant is rejected for a job, they will not show up in the job folder again.

Active Jobs

Your active jobs are jobs currently available.  These jobs will post to your company's co-branded careerpage http://hiring.at/companyname and will automatically be posted on free job boards Indeed.com, SimplyHired.com, and Juju.com.

Applicants from your active jobs will also be displayed within the New Applicants and Contact Quicklinks.

Inactive Jobs

Your inactive jobs are expired jobs or jobs no longer available.  They will not be listed on your company's co-branded career page or posted on free job boards indeed.com, SimplyHired.com, or juju.com. 

You can easily reactivate an inactive job by setting the Status to Active from the main Job Description tab.

Notes - Candidate and Job Description notes together

Your phone calls with candidates should be focused and distraction free.  You can view and take notes with a candidate plus view the candidate's resume, Job Description, and even that Job Description's notes all in one screen.  You'll find your calls to be much more informative, focused, and you won't be distracted flipping around the Applicant Tracking System.
- To open Candidate Notes - Click on the yellow notes icon on top of the Resume Preview
- To view the Job Description - Click on the blue icon next to the selected (green) Job
- To open Job Notes - Click on the yellow notes icon on top of the Job Description

- If you are in Applicants By Status (New Applicants, Contact, Interviewing, etc.), you can pop up the Job Description simply by clicking the Job Title in the table

Job URL

Each position has it's own unique Job URL.  This short URL is very powerful since it tracks back the source.

Use this URL as the apply link for job boards like Monster, Craigslist, Biospace, or Dice.  Post status updates with this URL on social media sites like Facebook, LinkedIn, or Twitter.  Get creative!  Since ResuWe automatically tracks back the source, you can post your jobs on blogs, industry sites, message boards, or any other site imaginable and our analytics will tell you where applicants found your job.

Also be sure to update your existing company career page and replace your jobs@company.com email address with the Job URL for each position.

Present Candidates

You can present candidates directly to your clients from within ResuWe.  Once a candidate has been presented, you can track if your clients have read your present email. 

To present a candidate, select the candidate within the table and click the "Present Applicant" button.








Clicking the "Present Applicant" button once marks the candidate "to be presented" which places the candidate in the "Present" folder under "Applicants By Status".  Clicking the button a second time pops up the Present Applicant email.
Be sure to select your contact, confirm the email subject, attach the resume file, and edit the email body text. Once you send the email, the candidate will now be marked with a new icon as "Presented" and can be found within the "Presented" folder under "Applicants By Status".  You can view the total number of views and the Unique # of people who have viewed the email. It's a great way for you to know if your clients are sitting on resumes or have strong interest in your candidates!
